Set4 collects only the information necessary to provide our email-based decision tracking service:
- Email Content: When you CC decisions@bot.set4.io, we process the email content to extract decision information
- User Information: Email addresses and names for proper routing and confirmation
- Decision Data: Confirmed decisions, including summary, participants, and context
- Authentication Data: Google/Microsoft OAuth tokens for secure access to your decisions
How We Use Your Data
Your data is used exclusively to:
- Detect and extract decision information from your emails
- Store confirmed decisions in your private account
- Provide search and retrieval functionality through our web interface
- Send confirmation requests and notifications via email
Data Isolation
Each user's data is completely isolated. Users cannot access each other's decisions or data. All database queries are filtered by user ID to ensure complete separation.
Data Storage
Your data is stored securely using:
- Encrypted database connections
- Secure cloud infrastructure (Vercel/PostgreSQL)
- Access tokens encrypted at rest
- Regular security updates and monitoring
Data Retention
We retain your data as long as you maintain an active account. When you delete your account, all associated data is automatically marked for deletion within 30 days.
Your Rights
You have the right to:
- Access: Request a copy of your decision data
- Delete: Request deletion of specific decisions or all data
- Correct: Request correction of inaccurate decision information
- Export: Request your data in a portable format
